How to show childcare availability without promising a place
Families need enough information to decide whether an enquiry is worthwhile. Centres need room to confirm age fit, requested days, start date, staffing, priority rules and any support requirements before making an offer.
The safest approach is to publish availability as a current indication, not a guaranteed place.
Use a small set of defined statuses:
- Available now — a suitable place appears to be open, subject to confirmation.
- Limited availability — some days or start dates may be possible.
- Waitlist — no suitable place is currently expected.
- Contact the service — the pattern is changing or needs individual review.
Always show:
- the room or age range;
- the days that may be available;
- the likely start window;
- when the information was last updated;
- a plain-language qualification.
Suggested wording:
Availability is indicative and may change. A place is not confirmed until the service has reviewed your requirements and issued a formal offer.
Do not publish a generic green “places available” banner if the only vacancy is for a narrow pattern that will not suit most families. StartingBlocks.gov.au allows families to compare vacancies, fees, inclusions and quality ratings, so consistency between channels matters. R4
Avoid false urgency. Statements such as “last place” or “filling fast” must be accurate and capable of being substantiated. Australian Consumer Law prohibits false or misleading claims, including claims about availability. R10
Internally, record the source, owner and expiry date for each availability update. A weekly review may be enough for stable rooms; rapidly changing availability may need more frequent checks.
Practical next step: publish room-and-day availability with a visible “last updated” date, then test the enquiry form to make sure it still collects the information needed for a proper placement decision.
